Registration procedure:

  1. Submit the above registration form, including:
    1. participant information and presentation details (for presenting registrations, see abstract rules)
    2. registration category and award consideration
    3. social function attendance and additional banquet ticket
    4. Optional workshops
    5. Mode of payment
    6. Accompanying person details (for banquet or travel bookings)
    7. Passport information and any visa assistance
  2. Receive confirmation and invoice emails
    1. these will include a link to confirm payment, along with registration for any hotel or airfare bookings required (username and password will be provided)
  3. Field trips will be subject to a separate registration procedure.

*Note that a limited number of student and developing country travel awards to defray costs may also be awarded to registrants that nominate for travel award consideration during registration.

#Applicable only to delegates resident in “least developed countries” as defined at http://www.unesco.org/ldc/list.htm.

Registration includes:

  • Abstract submission (one abstract per registrant)
  • Attendance at all scientific sessions
  • Attendance at Welcome Reception on Sunday evening (April 3)
  • Drinks and nibbles during the two evening poster sessions (April 4 and 5)
  • Lunch and coffee/tea breaks during sessions

Options:

Optional extras not included in registration costs:

  • Field trips on Wednesday (April 6) – separate registration and payment procedure to be advised
  • Banquet on Thursday evening (April 7) – **tickets available only during registration**
  • Satellite workshop participation –  **limited invitation requests only during registration**
  • Conference travel and hotel arrangements – airfare and accommodation options can be booked during registration

Cancellation Policy

  • Written notification of registration cancellations must be e-mailed (wci.for.isoecol2016@wci-jp.com) to the conference organizer.
  • Registration cancellations received by 3 February 2016 will receive a refund minus a 10,000 yen processing fee deducted from the refund.
  • No refunds will be issued for registrations or ticketed events cancelled after 3 February 2016, except in the case:
    • an abstract is not accepted for presentation, or
    • an application for Student Travel Award or Developing Country Award is unsuccessful and the delegate does not have access to alternative funding to attend.
